
Due to the unique nature of archival materials, e.g., often one-of-a-kind, of historical and sometimes even legal importance, of delicate composition by either age or original material or both, it is absolutely necessary that certain rules of usage--both in handling and in borrowing--be established and in fact also strictly followed.
To that very important end--protecting and carefully monitoring and tracking the using of the materials in the archival collection--the Spalding University Archives has set the following rules, which it expects all users of the archives, without exception, to understand and follow strictly. In fact, all users of the Archives are required to read and sign a form of compliance relative to these rules before they are given access to the materials. These rules are as follow.
Rules of Usage
- All materials must be kept intact and in good condition.
- All care and caution must be exercised to ensure that all materials are kept from damage.
- No materials, except under special conditions and by special users, are to be removed from the research room.
- No changing of the arrangement of materials in a folder or the arrangement of folders within a box will ever be performed by a user.
- No ink pens, hi-liters, erasers, whiteout or any other erasure or writing devices (except pencils) are to be used while using the Archives' materials.
- Only book-marking devices as provided by the Archivist will be used with any Archive materials.
- No fastening devices, such as rubber bands, tape, paperclips, etc., will be used with the Archives' materials.
- White cotton gloves, provided by the Archivist, will be worn at the request of the Archivist.
- No manner of food, drink, tobacco product or lighters will ever be brought into the Archives. This includes water, hard candies and gum.
- All outerwear, such as coats, hats, gloves and umbrellas, will be left in the area provided by the Archivist.
- All bags, briefcases, purses or any other carrying devices will be left in the secure area provided by the Archivist.
- All users will wash their hands at the request of the Archivist.
- All users agree to the Archivist's supervision at any time.
- The Archives storage area will never be entered by users except at the invitation of the Archivist.
- All users will submit to any request made by the Archivist.
These rules, along with modification of and additions to same, will be agreed to by all users by their affixed signature, the Archivist's signature, and the signing date on a form provided by the Archivist. Such signed forms will be kept as record in the Archivist's usage files, along with any violations of rules as noted by the Archivist.
